iAdvize Privacy Policy

 

As part of its business activities, iAdvize SAS (hereinafter "iAdvize", "we", "us", or "our") collects and processes personal data relating to contacts, prospects, clients, service providers, partners, and visitors of its website www.iadvize.com (hereinafter "our Site").

iAdvize is committed to protecting your privacy. This document contains all the information about the data processing we carry out. If you have any questions on this topic, please do not hesitate to contact us.

1 - Data collected

iAdvize SAS processes, as data controller, in particular the following data:

  • data relating to iAdvize clients (data relating to the organization, the subscription taken out, transactions carried out, solution users, etc.),
  • data relating to prospects,
  • data relating to visitors of the site www.iadvize.com (device data, connection data, browsing data, etc.),
  • data relating to job applications (resume, cover letter, etc.).

iAdvize SAS processes, as a data processor on behalf of its clients using the iAdvize solution, in particular the following data:

  • data relating to the client's website visitors (unique visitor ID, IP address, technical data, browsing data, etc.),
  • data relating to chat conversations (conversation content, number of conversations, duration, date, satisfaction survey responses where applicable),
  • data relating to client employees using the solution (first name, last name, username, user ID, position within the client organization, login data, logs).

The personal data processing that iAdvize carries out on behalf of its clients is governed by a Data Processing Agreement that precisely defines the conditions and terms of personal data processing, in compliance with applicable personal data protection regulations.

Personal data processing involving artificial intelligence systems is carried out in compliance with Regulation (EU) 2024/1689 laying down harmonized rules on artificial intelligence (the "AI Act"). The AI systems used by iAdvize are limited-risk AI systems within the meaning of that regulation.

 

2 - How do we get information?

Most of the personal data we process is provided directly by you for one of the following reasons:

  • you have subscribed to one of our solutions;
  • you provided your contact information to download a white paper or access an iAdvize webinar;
  • you provided your contact information at meetings or events, or to request a demo;
  • you have visited our Site;
  • you have contacted us via the chat on our Site;
  • you are an iAdvize partner;
  • you have submitted a job application to us.

We may also receive personal data indirectly when referred by third parties or partners.

 

3 - Legal basis for processing

Under the General Data Protection Regulation (EU – 2016/679), the legal bases on which iAdvize relies to process your data are as follows:

  • your consent (you have the right to withdraw your consent at any time),
  • a contractual obligation,
  • a legal obligation,
  • a legitimate interest.

Where processing involves an artificial intelligence system, the applicable legal basis is determined purpose by purpose using the same criteria as above (consent, contractual performance, legitimate interest, legal obligation). Such processing is carried out in compliance with the requirements of Regulation (EU) 2024/1689 (the "AI Act").

 

4 - Purposes of processing

The data collected by iAdvize is used for the following purposes:

  • Providing services based on contracts entered into with our clients;
  • Carrying out commercial prospecting based on our legitimate interest in promoting our business to a professional audience;
  • Managing contacts based on our legitimate interest in communicating with our visitors and prospects;
  • Producing statistics about our Site based on our legitimate interest;
  • Protecting our Site against cyberattacks based on our legitimate interest;
  • Collecting and storing visitor conversations via the chat feature on our Site in order to offer you the best possible assistance and to improve our products and services, based on your consent;
  • Processing job applications received, based on applicants' consent;
  • Improving and automating conversational assistance through artificial intelligence systems, based on the performance of the contract entered into with our clients or on your consent depending on the channel concerned, in compliance with Regulation (EU) 2024/1689 (the "AI Act").


5 - The recipients of your data

Your data may be shared with:

  • iAdvize staff (each team for what concerns them: HR, marketing, legal, etc.);
  • iAdvize subsidiaries: iAdvize GmbH (Germany), iAdvize Inc. (US);
  • iAdvize's service providers (sub-processors) in connection with the performance of their services, including providers supplying artificial intelligence services required for the operation of conversational assistance;
  • iAdvize's commercial partners, unless you object.

iAdvize endeavors to obtain maximum guarantees regarding compliance with personal data protection rules from all recipients of your personal data.

iAdvize enters into contracts with its sub-processors that precisely define the conditions and terms of personal data processing, in compliance with personal data protection regulations. 

 

6 - Transfers of your data

iAdvize may transfer personal data outside the European Union as part of the tools it uses for its business activities. These transfers are governed, depending on the destination country, by an adequacy decision, the EU–US Data Privacy Framework, or standard contractual clauses issued by the European Commission. iAdvize also verifies the security guarantees implemented by its sub-processors (Data Processing Agreement, certifications, encryption).


7 - Retention periods

We retain data relating to subscription management for the duration of the contractual relationship.

We retain data relating to visitors' browsing on our Site for a maximum of 14 months from the date of collection.

We retain data relating to job applications for 2 years from the last contact.

The retention periods for data that iAdvize processes as a data processor are determined by clients as data controllers.

Data processed by an artificial intelligence system is not retained beyond the period necessary for the purpose concerned; it is not used for AI model training. 

 

8 - Security

We take the private nature and importance of your data seriously, and we make every possible effort to keep it secure.

iAdvize has implemented technical and organizational measures appropriate to the sensitivity of the personal data, in order to ensure data integrity and confidentiality and to protect it against malicious intrusion, loss, alteration, or disclosure to unauthorized third parties.

iAdvize applies the principles of privacy by design and privacy by default: privacy protection and data minimization are built into the development of our solutions, and only the data necessary for each purpose is processed.

We encrypt your data when it is transferred to ensure it cannot be read by third parties. We use technologies such as HTTPS and Transport Layer Security.

To combat fraud, we verify your identity before you can access and modify your data. To this end, we use proven identification technologies. 

 

9 - Your rights on your data

You retain all rights over your data:

Unconditional Rights

At any time, you have the right to:

  • request access to the personal data relating to you and obtain a copy of that data;
  • request correction of your personal data if it is inaccurate or incomplete;
  • withdraw your consent whenever one of our uses is based on it;
  • object to any use of your personal data for marketing purposes.

Conditional Rights

Depending on the circumstances, you have the right to:

  • object, on grounds relating to your particular situation, to any use based on our legitimate interest;
  • request the transfer of your personal data to any person when we hold it on the basis of a contract or your consent (right to data portability);
  • request that we retain your personal data without using it in the event of inaccuracy, unlawfulness, while we are reviewing your objection, or if you need that data for legal purposes (right to restriction of processing);
  • request the deletion of your personal data when it is no longer necessary, when you have withdrawn your consent, or when you have objected to a use (right to erasure).

We have one month to respond to requests to exercise these rights. We may take longer depending on the difficulty of the request. In this case we will inform you.

If you feel, after contacting us, that your rights regarding your personal data are not being respected, you can submit a complaint to the competent data protection authority.

 

10 - Cookies and other tracers

Cookies are used on the site www.iadvize.com to access or store information on your device. Depending on their lifespan, these cookies may be session cookies, deleted when you close your browser, or persistent cookies, retained for a predefined period not exceeding thirteen (13) months.

By purpose, they fall into two categories: essential cookies, necessary for the proper functioning of the site and the use of its services and features; and non-essential cookies (including content personalization cookies, certain audience measurement cookies, advertising cookies, and social media cookies), which are only placed with your explicit consent. This consent is collected via our consent management tool (Didomi) and can be withdrawn or modified at any time.

iAdvize collects and respects your choices in accordance with Article 82 of the French Data Protection Act of January 6, 1978 as amended, the GDPR, and the CNIL guidelines and recommendations of September 17, 2020.
